Keep reservation questions connected to the booking.
Customer care for reservation inquiries, change-request intake and follow-up, with availability, charges and exceptions confirmed through approved sources.
Travel requests can involve a property, platform, supplier and guest in different time zones. Support needs to preserve the booking reference and distinguish a requested change from a confirmed one. A fast reply is useful only if it accurately describes what has been agreed.
Keep the role tied to approved work
Industry familiarity is useful, but it does not replace your current procedures. Define the requests the assistant can handle, the source they should consult and the action they may take. Keep uncertain or sensitive cases attached to an accountable owner.
A focused initial scope makes the work easier to review. Agree the covered channels and priorities so routine follow-up is not displaced by new incoming requests.
What the assistant needs before starting.
Prepare a short operating brief with approved access, representative examples and named decision owners. Check that the source materials agree with one another. Where the process is incomplete, record the question for your team rather than asking the assistant to invent a rule.
Test the handoff with an internal example before live handling. The receiving owner should be able to find the relevant evidence and understand the precise decision required.
Reservation sources
Approved booking views, supplier references, guest contact rules and the source for current availability.
Change policies
Applicable cancellation, amendment and refund guidance, including which party can approve each action.
Coverage and escalation
Supported hours, time zones, urgent-contact routes and the owner for unavailable inventory or policy exceptions.
A workflow your team can follow.
Confirm the booking and request
Complete the approved verification and identify the reservation, dates, time zone and requested change. Check whether another team or supplier is already handling the same issue to avoid duplicate or conflicting instructions.
Check the applicable terms
Use the policy attached to the reservation and the current authorized source. A general website policy may not describe a particular booking. Route uncertain fees, exceptions or supplier decisions without implying that a request has already been accepted.
Communicate confirmed status
Record the supplier or authorized owner response and clearly state what is confirmed, pending or unavailable. Keep the guest's next update owned across shifts. Follow the agreed urgent route when the request cannot wait for ordinary follow-up.
Illustrative workflow, not a client result
A guest requests a later departure through two channels.
The assistant connects the messages to the same reservation and checks the property's approved process. They submit one clear request and explain that confirmation is pending. Once the authorized response arrives, the record and customer message are updated consistently across the permitted channels.
Where decision authority stays
The assistant does not independently guarantee availability, waive charges, approve compensation or make safety decisions. Your documented permissions and responsible operational teams control those actions.
What a useful record should show.
Keep the reservation reference, request, applicable policy, supplier response and next customer update together. Separate confirmed changes from requests awaiting approval so another shift can continue the conversation without making conflicting promises.
Review the unfinished work too
Check pending approvals, promised updates and cases waiting on another team. A record should make the remaining action visible, not merely show that an assistant touched the request. Use recurring questions to improve guidance and identify where the workflow needs clarification.
Agree the review period and definitions before comparing performance. Keep a change in volume, case mix or policy visible so the report does not imply an improvement the evidence cannot establish.
Questions about travel and hospitality support
Does this include overnight guest coverage?
Only if the agreed staffing plan includes those hours and an appropriate escalation route. Define time zones, urgent requests, supplier availability and backup responsibilities explicitly. Do not infer continuous coverage from a reservation system being available online.
How should we prepare the role?
Start with representative anonymized requests, the approved source for each answer and a list of decisions your team retains. Confirm access, coverage hours, required checks and the escalation owner before customer work begins.
Can we use our existing systems?
Describe the tools and workflows already in use during the consultation. Confirm the experience and training needed for the proposed role. Access should be limited to the work in scope, with your team retaining control of permissions and sensitive records.
How should we review the first working period?
Inspect a permitted sample for accuracy, complete records and appropriate handoffs. Check outstanding commitments as well as closed cases. Correct unclear guidance or permissions before extending the role to more requests or channels.
Order lookups, return and refund intake, account updates, and shipping inquiries handled within approved policy.
Scope the work around your operation.
Bring your common requests, current handoff process and the decisions your team needs to retain. Use anonymized examples rather than customer records or sensitive account details.
