Start with the currency, items, quantities, discounts, tax, shipping, credits, and prior refunds. Confirm which line items qualify under the return or service policy. Do not calculate from the order total alone when a promotion was allocated across several items.
Make the arithmetic visible
List the eligible item amount, discount adjustment, refundable tax, fees, and final refund. Use the commerce system's calculation where available and explain rounding in plain language. Escalate when the displayed result conflicts with the approved policy.
After approval, state the refund method and processing date. Do not promise the date another bank will post funds. The refund escalation workflow can handle exceptions and missed processing windows.

Prevent repeat confusion

Why can a partial refund be less than an item's displayed price?
An order-level discount or nonrefundable component may have been allocated to that item. The calculation should show this explicitly.
When is a refund complete?
