Start with the status shown in the source system. A temporary authorization, usage estimate, invoice adjustment, and settled charge have different meanings. Repeat the amount, currency, merchant descriptor, and date only after verifying them in the customer's account.

Explain what can still change

Describe the event that will finalize the amount, such as shipment, measured usage, returned equipment, or completion of service. State which portion is calculated and which portion remains variable. Avoid promising when a bank will release a pending authorization.

If the amount is already final and appears wrong, move to the formal billing dispute workflow instead of repeating the estimate explanation.

Set a checkpoint
